Three folders, three tasks, one sheet per task

Nobody reads a guest folder with thirty pages, everyone reads one with three. This guide describes the folders of the line with their sizes, which sheets belong in them and in which format, how housekeeping exchanges the inserts and what stays on the desk when the guest has left.

Each folder has a task. Those who mix them get a folder nobody opens.

Three to five sheets, not thirty

The guest folder is not an archive. It answers the questions of the first hour and refers to reception and screen for everything else.

Sheet 1: welcome and contact

A greeting, the extensions of reception, room service and housekeeping, the times of breakfast and check-out. One page, large type, in the languages of the house. The sheet every guest opens.

Sheet 2: Wi-Fi and technology

Network name and access, the operation of television, air conditioning and safe in two sentences each. The sheet exchanged most often, which is why it is on a page of its own and not on the greeting.

Sheets 3 to 5: house and surroundings

Spa and pool with times, restaurant and bar, the way to the station. What changes seasonally belongs in the menu holder or on the screen, not in the folder. Brochures lie in the brochure holder of 35 cm, not in the guest folder.

The menu holder: One sheet A4, printed on both sides, with the room service menu and the breakfast. It is exchanged when the menu changes, and the guest folder stays as it is. So the folder stays the same for three years although the menu changes four times a year.

How the sheets are exchanged

The folder stays in the room, the sheets change. Three rules so that the exchange is done in a minute.

One sheet, one sleeve

Each sheet in a clear sleeve, the sleeves in the folder. The sheet is exchanged, not the sleeve. Fingerprints and coffee stains stay on the sleeve, which housekeeping wipes, not on the paper.

A date bottom right

Each sheet carries the print date small at the bottom right. So the executive housekeeper sees on the room round which folder carries an old sheet without reading it.

A stack in the office

Of every sheet a stack lies in the floor office, sorted by sheet number. The exchange then goes room by room on the same day, and no room has the old Wi-Fi sheet while the new one already lies in the folder next door.

What stays

After check-out, guest folder and menu holder stay in the room, closed and wiped. The writing folder is refilled with letterhead and envelope. The bill folder goes back to reception with service; it is not part of the room furnishings.

Does an A4 sheet fit in the guest folder?+
Yes, the guest folder measures 35 x 25 cm, an A4 sheet is 21 x 29.7 cm and lies in the clear sleeve with a margin. The menu holder of 32 x 23 cm takes A4 in portrait, the writing folder of 32 x 25 cm an A4 letterhead.
How many sheets does the guest folder take before it stands open?+
Five sheets in sleeves lie flat, at ten the cover bulges. Those who have more to say say it on the screen or at reception. The folder is meant for the first hour, not for the whole stay.
Guest folder or screen?+
Both, with a clear split: the folder for what the guest needs in the first hour and wants to read without a device, the screen for everything that changes daily. A folder with three sheets and a well-kept screen are better than a folder with twenty sheets.
Does every room need a bill folder?+
No, the bill folder belongs to service: restaurant, bar, reception. Two to three per service station are enough; a case of 200 lasts a house with several restaurants for years.
How does the channel list get into the TV remote folder?+
It lies in the window on the front, printed on a card-sized sheet. When the channels change, technology exchanges the sheet; the remote itself lies in the compartment behind, 12 x 24.5 x 4.5 cm, and the second one in the remote control holder beside it.
